How to use Scope

Scope is the CRM in Coavon. Keep the companies and people you work with, move them through your pipelines, and let automations start the project work in Flow.

First steps

  1. Open Scope from the app launcher, or go to scope.coavon.com.
  2. Add your clients and leads as companies and people, or bring them in from a spreadsheet.
  3. Make a pipeline with the stages your work goes through, and drag records along it.
  4. Set a follow-up date on a record, and check the Overview each morning for what is due.

Records

Companies and people

A company is an organization you work with; a person is someone you deal with, linked to their company.

Your own record types

Add types beyond companies and people, such as Suppliers or Properties, each with its own fields. Rename the built-in ones if you like.

Settings
Custom fields

Text, numbers, money, dates, choices, people and more. Rename, reorder or remove any field.

Settings
The record page

Everything about one record: its details, contacts, notes, a history of what happened, and the Flow projects and tasks and Drive files linked to it.

Notes and history

Write notes on a record. The history lists every change in order, so anyone can pick up where a colleague left off.

Follow-up dates

Set the next time to get in touch. Records due today show on the Overview.

Pipelines

Boards of stages

A pipeline is a board of stages, such as a sales process or client onboarding. Drag a record from one stage to the next.

Value and outcomes

Track the value of each record and the total at each stage, and mark a record won or lost.

As many as you need

Make a pipeline for each process. A record can be in more than one at a time.

Lists and views

Saved views and filters

Filter and sort any list, choose its columns, and save it for yourself or share it with the team.

Changing many at once

Select many records to change a field, add a tag, move a stage, archive or delete them in one go.

Import from a spreadsheet

Bring records in from a CSV file. Match each column to a field and preview the result before anything is added.

Export

Save any list, as filtered, to a spreadsheet file.

Overview

Active clients, open leads, the value of your pipelines, follow-ups due and relationships that have gone quiet.

Search

The search box at the top looks through everything in Scope.

Working with Flow and Drive

Linked projects, tasks and files

Connect a record to its projects and tasks in Flow and its files in Drive, or create a project or task straight from the record. The Flow project shows the record too.

Automations

Rules that run on their own when a record is added, moves stage, has a date coming up, goes quiet or a form is answered. They can create tasks and projects from templates, make folders, documents and Chat channels, update fields or tell someone.

Automations
Forms

A form with its own link that anyone can fill in. Each answer creates a record, or updates one that matches by email or name, and can trigger an automation. Free and Starter plans have one form with 20 answers a month.
