Terms of service
Last updated October 14, 2026
These terms are the agreement between you and Coavon when you use coavon.com and the Coavon apps (together, the "service"). By creating an account or using the service, you agree to them. If you are using Coavon on behalf of a business or other organization, you agree on its behalf, and "you" includes that organization.
If you do not agree, please do not use the service.
1. Your account
You need an account to use Coavon. Give accurate details, keep your password to yourself, and tell us at hello@coavon.com if you think someone else has got into your account. You are responsible for what is done under your account.
You must be old enough to enter into a contract where you live. Coavon is a tool for work and is not meant for children.
2. Organizations
Work in Coavon happens inside an organization. The person who creates an organization is its owner. Owners and admins decide who can join, what each role can do, and what happens to the organization's content. If you join someone else's organization, they control the content in it and can remove your access.
3. Free plan, free trial and billing
Free trial. A new organization starts with a 14-day free trial of the Pro plan, which needs no payment method. Storage during the trial is limited to 5 GB for each person. When the trial ends, an organization with one person moves to the Free plan. An organization with more than one person becomes read-only, with nothing deleted, until it chooses a paid plan or is reduced to one person.
Free plan. The Free plan costs nothing and needs no payment method. It is for one person and has limits on how much can be stored and created, shown on our pricing page. We may change what the Free plan includes; if we reduce it, what you have already made is not deleted because of that.
Subscription. A paid plan starts when its owner chooses it and adds a payment method. If that is during the free trial, the payment method is first charged when the trial would have ended; cancel before then and you pay nothing. Otherwise it is charged when the plan starts. Plans are priced per person, billed monthly or annually in advance, and renew automatically until cancelled. Prices are shown on our pricing page in US dollars; taxes may be added where they apply.
Changes. An owner can add or remove people, add storage, or change plan from Billing in Workplace. Your price changes to match.
Failed payments. If a payment fails, we will tell the organization's owners and try again. The organization keeps full access for 7 days. After that, access may be limited until payment is made.
Cancelling. An owner can cancel at any time from Billing in Workplace. You keep access until the end of the period already paid for. After that, an organization with one person moves to the Free plan; a larger one becomes read-only, with nothing deleted, until it subscribes again or is reduced to one person. Except where the law requires otherwise, payments are not refunded.
Price changes. If we change the price of your plan, we will tell you ahead of time, and the new price will apply from your next renewal.
4. Your content
What you and your team put into Coavon stays yours. You give us permission to store it, back it up, and show it to you and the people you choose, only as needed to run the service for you.
You are responsible for your content: that you have the right to put it into Coavon, and that it does not break the law or anyone else's rights. How we handle personal information is explained in our Privacy policy.
5. Acceptable use
Please do not use Coavon to:
- break the law, or store or share content that is illegal or that infringes someone else's rights;
- harass, threaten or defraud anyone, or send spam;
- spread malware, or try to get into accounts, data or systems that are not yours;
- interfere with the service, overload it, or get around its limits;
- copy, resell or reverse engineer the service, except where the law allows it.
We may remove content or suspend an account that does these things. Where we reasonably can, we will tell you first.
6. AI features and connected tools
Some plans include an AI assistant, and you can connect your own AI tools and other software to your workspace. AI can be wrong, so check its answers before relying on them. If you connect an outside tool, you are responsible for what it does with the access you give it, and that tool's own terms apply.
7. Our service
We work to keep Coavon available and reliable, and we keep improving it, which means features will change over time. Now and then the service will be unavailable for maintenance or because something has gone wrong. If we plan to remove a feature that many people rely on, we will try to give notice.
Coavon, including its software, design and name, belongs to us. These terms let you use the service; they do not transfer ownership of it.
8. Ending your use
You can stop using Coavon at any time. You can delete your account, and an owner can delete an organization, from settings in Workplace. Deleted data is kept for 30 days in case of a mistake, then removed for good.
We may suspend or close an account or organization at our discretion, for example if it breaks these terms, if its payment remains overdue, if we are required to by law, or if we need to in order to protect the service or other customers. Where we reasonably can, we will give you notice and a chance to download your content first.
9. If your use of Coavon gets us sued
If someone brings a claim against Coavon because of your content, because of how you or the people in your organization used the service in breach of these terms, or because you broke the law or someone else's rights, you agree to cover the losses and costs that result for us, including reasonable legal fees. This is sometimes called indemnification.
We will tell you about any such claim promptly, and we won't settle it in a way that commits you to anything without asking you first.
10. Disclaimers
Coavon is provided "as is" and "as available", without warranties of any kind, whether express or implied. To the extent the law allows, that includes any implied warranties of merchantability, fitness for a particular purpose and non-infringement, and any promise that the service will be uninterrupted, secure or error-free, or that your content will never be lost. Keep your own copies of anything you cannot afford to lose.
11. Limit of liability
To the extent the law allows, Coavon is not liable for indirect or consequential losses, such as lost profits, lost data or business interruption. Our total liability for any claim connected with the service is limited to the amount you paid us for it in the twelve months before the claim arose.
Nothing in these terms takes away rights that the law says cannot be limited.
12. Governing law and disputes
These terms are governed by the laws of the State of Georgia, United States, without regard to its rules on conflicts of law.
If we have a disagreement, please write to hello@coavon.com first so we can try to sort it out. Any dispute that can't be settled that way will be decided in the state or federal courts located in Georgia, and you and Coavon each agree to those courts having authority over it.
13. Changes to these terms
We may update these terms. If we do, we will change the date at the top, and for significant changes we will tell you by email or in the apps before they take effect. Continuing to use Coavon after a change means you accept the new terms.
